Workday Training Materials for Employees

Employee Acknowledgements

RHA wants to ensure employees understand how to use Workday, and what employees need to do in Workday.

Below are key areas for employees to understand.

Who to contact for help

  • I understand that I have resources to help me use Workday.  This includes the ‘Workday for Employees’ resource page on www.MyRHA.org as well as my local Workday Ambassador.
  • If I’m not sure how to do something in Workday, I acknowledge I will try to find the answer using these resources in a timely manner.

Accessing Workday Daily

  • I acknowledge that I need to login to Workday daily to see if there are items I need to complete in my Workday Inbox.

Keeping Personal Information Accurate

  • I acknowledge that it is my responsibility to update my personal information (name, address, phone number, email, etc.) in Workday.
  • I understand this is very important to ensure I receive important information like benefits and tax information.

Absence/Time Off Requests

  • I acknowledge that if I need to request an absence/time off, then it is my responsibility to request time off myself in Workday.

Timekeeping Policy and Acknowledgment for Hourly Employees

  • I acknowledge that if I’m an hourly employee, I must submit my time worked every day I work.
  • I acknowledge that I must review, if needed-correct, and submit my accurate time worked every Monday by Noon Eastern time to my manager in Workday.
  • I acknowledge that I must report accurate time worked in a timely manner to be accurately paid in a timely manner.
  • I understand that if I do not report my time worked in a timely manner, I will NOT receive any due monies until the next paycheck.  No ‘off-cycle’ payment will be made.
  • I understand repeated failure to submit time worked can result in corrective action.

Onboarding

New employees will be directed to the Onboarding worklet.

In essence, this walks a new hire through the first things they need to do in Workday.

New employees will be given onboarding 'to do' tasks upon hire.

Includes:
  • A message from your manager
  • Helpful contacts
  • Kicks of the remaining onboarding tasks you need to do.
BE SURE TO COMPLETE ALL TASKS IN YOUR WORKDAY INBOX!

Personal Information

In the 'Personal Information' worklet, you can:
  • Update your personal contact information
  • Update your work contact information, which will also be fed to our Outlook email system.
  • Add Emergency Contact
  • Add photo
  • Verify legal name
  • Add a preferred first name

Note:
It is VERY important that you keep this information current.

Time
The Time worklet is mostly for hourly employees, but is also where mileage is submitted (see further below).

In Workday, you can:
  • View your Work Schedule
  • Clock in/out via the 'Check in' and 'Check out' on a daily basis.  MOST HOURLY EMPLOYEES SHOULD CLOCK IN/OUT IN REAL TIME
  • Enter blocks of time worked - ONLY FOR EMPLOYEES THAT HAVE BEEN GIVEN APPROVAL
  • Submit hours to your manager for approval, on a weekly basis.  Salaried employees do not submit time worked.
View the quick guide on how to Enter/Submit Time

Note:
  • RHA wants to pay you for all time worked
  • It is your responsibility to 'check in' and 'check out' of your shifts, and approve your time sheet on a weekly basis
  • Behavioral Health employees - See how timekeeping changes for you.

Pay

You now have more access to view your pay and make changes in your direct deposit.

See the HR Policy Manual for more information about the pay policy.

In Workday, you can:

View payslips and change direct deposit info

Submit Mileage in Time
  • You will submit mileage to your manager in Workday.
  • To specifically qualify, you must drive a personal vehicle (and pay the associated fuel costs) for approved company business.
  • See the HR Policy Manual for more information about our mileage reimbursement policy.

View the print guide on how to Submit Mileage in Workday

If an employee needs to submit for reimbursement of other expenses (i.e. meals, etc), please us the 1003 - Travel and Expense Report.xls

Absence (PTO)
  • You will now be initiating all absence requests in Workday.
  • The most common way you'll use this is to request paid time off (PTO) from your manager.
  • Absence is also used to initiate more complex leave events like FMLA requests.
  • See the HR Policy Manual for more information about the absence policy.
